Terms of Service

These terms are a contract between you and Vemila. By creating an account or using the app you agree to them.

1. Who we are

Vemila is a personal productivity app operated by an individual (a sole trader) based in the United Kingdom, trading as "Vemila". Vemila is not a registered company. You can reach us at hello@vemila.app.

2. Your account

  • You must be 16 or older to use Vemila.
  • You are responsible for keeping your password safe and for activity under your account.
  • Provide accurate information when you sign up, and let us know if your email changes.
  • One person per account. Don't share your login.

3. Acceptable use

Use Vemila for your own personal planning. Don't use it to break the law, infringe others' rights, send spam, attempt to access other users' data, probe or overload our systems, or reverse-engineer the service. We may suspend or close accounts that do.

4. Mila and AI-generated content

Vemila includes an assistant ("Mila") and other features that use AI (currently Claude, provided by Anthropic) to generate suggestions, plans and replies. AI output can be wrong, incomplete or unsuitable. It is not professional advice — medical, legal, financial or otherwise. Use your own judgement before acting on it. You are responsible for what you do with anything Mila produces.

5. Beta status

Vemila is early software offered on an "as is" and "as available" basis. Features may change, break or be removed, and the service may be unavailable at times. We don't promise it will be error-free or uninterrupted.

6. Plans and payment

Vemila has a Free plan and paid plans (Productivity, and Streamer plans arriving with Vemila Studio). Paid plans are billed through our payment processor, Stripe. When paid plans are live:

  • Prices are shown on the pricing page. Subscriptions renew automatically for the billing period you chose until you cancel.
  • You can cancel any time from your account settings; your plan stays active until the end of the period you've paid for.
  • We don't run trials that quietly start billing you.
  • Your statutory rights, including any right to a refund under UK consumer law, are unaffected.

During the current beta, everyone is on the Free plan and no payment is taken.

7. Your content

Anything you put into Vemila — goals, plans, notes, messages to Mila — remains yours. You grant us only the permission needed to store and process it so the app can work for you (see the Privacy Policy). We don't sell your content or use it to train AI models.

8. Ending your use

You can delete your account at any time from settings; this removes your data as described in the Privacy Policy. We may suspend or end access if you breach these terms or to protect the service or other users.

9. Liability

To the extent the law allows, Vemila is not liable for indirect or consequential loss, or for loss of data or profit arising from your use of the service. Nothing in these terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or fraud). As Vemila is provided to you as a personal-use service, our total liability to you is limited to the amount you paid us in the 12 months before the claim.

10. Changes and governing law

We may update these terms; if we make material changes we'll tell you by email or in the app. These terms are governed by the laws of England and Wales, and disputes are subject to the courts of England and Wales.

Privacy Policy

This explains what personal data we hold, why, who else processes it, and your rights under UK GDPR. The person operating Vemila is the "data controller"; contact hello@vemila.app for anything data-related.

1. What we collect

  • Account details: your email address, a securely hashed password, and your display name.
  • Your content: the goals, plans, planner and activity entries you create, your messages to Mila, and anything you submit such as a Studio waitlist request.
  • Technical data: basic server logs (e.g. IP address and request time) kept for security and to keep the service running.

We do not use third-party advertising or analytics trackers, and Vemila sets only the cookie needed to keep you signed in.

2. Why we use it (legal basis)

  • To provide the service — storing your content and running your account (performance of our contract with you).
  • To send essential emails — confirming your address and resetting your password (contract).
  • To keep Vemila secure and working — logs, abuse prevention (our legitimate interests).
  • For payments, once paid plans are live — to take and manage your subscription (contract).

3. Who processes your data

We keep the number of third parties small and choose them deliberately. Our processors are:

  • Hetzner — hosts our server, located in Germany (EU). Your account and content are stored there.
  • Anthropic — provides the Claude AI that powers Mila and generation features. When you use those features, the relevant content is sent to Anthropic to produce a response. It is not used to train their models.
  • Resend — sends our transactional emails (confirmation, password reset).
  • Stripe — will process payments when paid plans launch. Card details go directly to Stripe; we never see or store them.

Some of these process data outside the UK/EU; where they do, that transfer is covered by appropriate safeguards (such as standard contractual clauses).

4. How long we keep it

We keep your account and content for as long as your account is open. If you delete your account, your data is deleted from our live database promptly; routine encrypted backups are kept on a short rolling schedule (currently up to 14 days) and then overwritten. Server logs are kept only as long as needed for security.

5. Your rights

Under UK GDPR you can ask us to: access a copy of your data; correct it; delete it; restrict or object to processing; or provide it in a portable form. You can do much of this yourself in settings (edit your profile, export, or delete your account), or email hello@vemila.app and we'll action it. You also have the right to complain to the UK's Information Commissioner's Office (ICO).

6. Security

Passwords are hashed, traffic is encrypted with HTTPS, the database is not exposed to the public internet, and access to the server is restricted. No system is perfectly secure, but we take reasonable steps to protect your data and will tell you if a breach affects you.

7. Children

Vemila is not intended for children under 16, and we don't knowingly collect their data.

8. Changes

If we change this policy materially we'll update the date above and, where appropriate, let you know in the app or by email.
